To print off a list of your inventory part numbers go to Q Reports and A Inventory, choose the R Format for inventory Maintenance. In the Making your Report section you can choose which filters you want to use to optimize your report. For Example, if you set up your inventory properly with Locations you can run the Q,A,R by Location and have a separate list for each location—or, you can simply print off your Q,A,R using only the Line Code as a filter which means you will have to search the shelves for each part in that line… Once you have the filters chosen you will need to press P to print the report, place it on a clip-board, count your inventory writing down the Quantities and changes.

Now, take your reports and get accurate quantities written in, along with any needed changes…
The next step is to put this information into PTM: you will want to start first by running the same report—Q, A, R, This time, instead of pressing P to print you will chose I Edit For Conditions—N to Edit Sales history—mark the areas you want to edit.

The next area is to help keep track of how the inventory was changed and when, answer Y to process date and add in your own note (The Inventory Note is very important to keep consistent for later use in reporting on your Inventory Variance!)

The system will call up the parts and areas to edit in the same order as your list you printed and edited to make input of changes easier. See the below example of how the screen will appear, you will be able to edit the areas you marked.


Once in the Print menu press R for Report Inventory Transactions *Note: confirm that the LPT showing at the top of your screen is correct—this report will default to your Main Menu Reports selection from system setup*

Complete the prompts accordingly—use a From and To date that fits the time frame you spent editing your inventory, leave the Specific Part prompt empty, Fill in the Specific Note with the same note you used for your Inventory Note while editing your quantities, leave your summary at N to get detail…
